How to Manage Email Inbox


PURPOSE:

This document outlines the process by which Develop Coaching manages and replies to client enquiries inside the [email protected] email account. 

To ensure consistency in email management and client communication.

WHY THIS IS IMPORTANT:

It’s important to document this process for the purpose of effectively training future staff, to become more efficient and ensure consistency in executing the task.

WHO: This SOP is used by admin on the Develop Coaching team.

WHEN: This process is to be used daily, every time we check the Hello Inbox.

HOW: The [email protected] email account should be checked every day.

You MUST follow the steps below:

1. Login to Hello inbox 

2. Start with the oldest emails.Reply to emails one by one:

3. Go to Asana>Responses for lead magnet>Review and copy the appropriate canned response 

For instance, the email that we received contains this question - Quick Q? What Type of Business Do You Have?

Your reply would be sub-task #2 - See Screenshots below:

4. Copy the canned response.

5. Go back to the Hello inbox and hit the  ‘Reply’ button. 

Note: Delete this email in the reply field: [email protected]

6. Paste the copied message.

7. Click the 3 dots and select ‘Active Campaign’ in the dropdown options.

We do this step because we need to track down the campaign.


8. Once you logged in to Active Campaign, select ‘Tags’.


9. Add this tag - SBC Started

10. Click ‘SEND

11. Delete that message from the inbox

12. Proceed to the next email - Repeat the process

13. Zero inbox - Done!

•Review email enquiries

•Log in to  Active Campaign App within the Email 

•Reply to email enquiries using canned responses in Asana

•Add a tag inside the Active Campaign App (SBC Started)
